# Track Partner Collaborations

Every invitation you send or receive creates a collaboration thread. Track the ones still waiting from the
**Pending invitations** panel on the **All Partners** tab, and review every application you've received under
**Applications**.

---

## Overview

There is no separate Collaborations page. Invitations and applications show up in two places under
**Partners**:

- The **Pending invitations** panel sits above the All Partners table. It lists only invitations that are
  still waiting for a response, so you see what is outstanding in the same place you work your partner list.
  It shows both directions:
  - **Outbound**: invitations you sent that are still waiting on the other side.
  - **Inbound**: invitations another organization has sent you.
- **Applications** is a list of its own in the Partners rail. It keeps every inbound request, including the
  ones you've already decided, so you can see which applications you accepted, declined, or let expire. See
  [Review Partner Applications](#review-partner-applications).

## Open an invitation's details

1. Go to **Fours Console**, then **Partners**.
2. On the **All Partners** tab, expand **Pending invitations**. The panel appears only while something is
   pending, and it opens by itself if you don't have any partners yet.
3. Click a row:
   - An **inbound** row expands in place to show what the company sent you — the same details as under
     **Applications**. See [Read an application](#read-an-application). Click the row again to close it.
   - An **outbound** row opens the thread for the invitation you sent: who it went to, what was asked for, and
     the message that went with it.

The panel lists up to 50 invitations, newest first. When more are pending, a **Showing 50 of N** line at the
bottom says so.

Each row's actions sit behind the **⋯** menu in the **Actions** column: **Accept** and **Decline** on an
inbound invitation; **View details**, **Resend invitation**, and **Cancel invitation** on one you sent.

## Respond to an inbound invitation

Open the row's **⋯** menu and choose **Accept** or **Decline**. They do exactly what **Approve** and
**Decline** do under Applications (see [Review Partner Applications](#review-partner-applications)), except
that a decline here takes effect straight away, without a confirmation step.

## Cancel an invitation you sent

Open the row's **⋯** menu on an outbound invitation and choose **Cancel invitation**. Fours asks you to
confirm, and warns that the partner will no longer be able to accept it.

:::warning
Cancelling cannot be undone. To work with that partner afterwards you have to send a fresh invitation — see
[Invite Partners](/prm/invite-partners/).

## Review Partner Applications

**Applications** is the full history of requests to partner with you. It includes every submission from
your public [registration form](/prm/partner-registration-form/) and every invitation another Fours
organization sends you in the app. It also holds an application for each company that registers a deal
through your [public deal registration link](/prm/public-deal-registration-link/) without being your partner
yet. Rows you've decided stay in the list, including the ones you turned down.

1. Go to **Fours Console**, then **Partners**.
2. Click **Applications** in the rail.
3. Pick a status to narrow the list: **All**, **Pending**, **Accepted**, **Declined**, or **Expired**.

The table shows each **Applicant**, their **Domain**, the **Status**, when the application was
**Submitted**, and when it was **Decided**. The newest are listed first, 20 to a page. The list doesn't show
which teammate made a decision.

| Status | Meaning |
| --- | --- |
| **Pending** | Waiting for your decision. The only status with **Approve** and **Decline**. |
| **Accepted** | You approved it. |
| **Declined** | You declined it. It can't be reopened. |
| **Expired** | Nobody decided within 15 days. |

A row stays **Pending** until you approve or decline it. If nobody decides within 15 days of its arrival, it
can no longer be approved or declined, and a daily check marks it **Expired**. If the other organization
resends an in-app invitation, it comes back as **Pending** with a new 15-day window.

```d2
direction: right
arrives: "An application arrives\nregistration form or\nin-app invitation" { shape: rectangle }
pending: "Pending" { shape: rectangle }
accepted: "Accepted" { shape: rectangle }
declined: "Declined\ncan't be reopened" { shape: rectangle }
expired: "Expired" { shape: rectangle; style.stroke-dash: 3 }
arrives -> pending
pending -> accepted: "you approve"
pending -> declined: "you decline and confirm"
pending -> expired: "no decision within 15 days"
expired -> pending: "the other organization\nresends an in-app invitation"
```

### Read an application

Click the arrow at the start of a row to read what the company sent before you decide. Only one row is open at
a time.

For an application from your sign-up form, the panel shows:

- **Submitted by** — the applicant's name and email address;
- **Company** and **Company website**, which opens in a new tab;
- their answer to **Why do you want to partner with us?**;
- every other question with its answer, worded as the applicant saw it and in the order the form asks them
  now. A question you've renamed or removed since then comes after the rest. A question the applicant
  skipped reads *Not answered*, and a ticked checkbox reads *Yes*;
- the form it came through — or *the deal registration form*, for a company that registered a deal through
  your public link.

An invitation from another Fours organization has no form behind it. Its panel says so, and shows the message
the organization sent instead.

When you arrive from the invite wizard's **Review their application** link, the list opens on **Pending** with
that application highlighted. See [Invite Partners](/prm/invite-partners/#one-open-invitation-per-company).

### Approve an application

Click **Approve** on a **Pending** row.

Approving marks the row **Accepted** and provisions the partner. When provisioning succeeds, Fours reuses and
activates a matching partner record if it finds one, and otherwise creates a new active partner record. For
an invitation from another Fours organization, both organizations get an active partner record.

For a public-form application, provisioning is best-effort. If it can't complete (for example, when no
domain can be read from the company website or work email), the application still reads **Accepted**, but no
partner record is added.

### Decline an application

1. Click **Decline** on a **Pending** row.
2. Confirm with **Decline application**.

A decline can't be undone, and there is no way to reopen the application from the console. A partner who
should have been accepted has to apply again.

The one exception is an application raised by a [public deal registration](/prm/public-deal-registration-link/).
If you later accept that company's deal in **Partner Co-Sells**, the company becomes your partner and its
application reads **Accepted**, even if you had declined it or it had expired.

For a public-form application, the **Partnership invite declined** email in your **Settings → Notification**
controls whether the applicant is emailed. See [Email Notification](/settings/email-notification/).

## Start a new invitation

Invitations are created from the invite wizard rather than from this panel. See
[Invite Partners](/prm/invite-partners/) for the single and bulk flows.
